FAQ - Questions about exam creation

EvaExam allows you to scan exams after they have been completed by hand by students. Scanned exams are conducted in the same way as analog exams, so they must be created as paper exams. Not all digital question types can be displayed in paper form. Layout problems may also occur. You can avoid these problems by creating the exam as a paper exam from the outset.

Individual questions can be imported into your new exam paper from the question library using drag & drop.
You can export your entire question library as a .csv file via the “Question library” menu item. You can then make it available to other users, who can import it. Conversely, you can also import question libraries as .csv files. It is also possible to create a question library directly as a .csv file (e.g., in Excel). You can find out exactly how this works in the Eva-Exam online help (accessible via the question mark at the top right of the EvaExam page) under “Importing and exporting the question library.” If you have already created exam questions in a word processing program such as Word, these must be transferred manually (e.g., by copying and pasting).

You can find the exam papers you have created so far under “Exam paper list.” These can be copied and restarted as online versions.
You can save individual questions in your question library. This allows you to reuse exam questions or share them with others, who can then also use them to create exams.

There are three ways in which you can collaborate with other teachers across accounts:

  1. via the question library
  2. via the import/export of exam papers and/or
  3. in the joint awarding of points when evaluating open and segmented open questions.

The creation, import of participants, and implementation of an e-exam can only be controlled from one account.

Exams cannot be easily transferred, but exam papers can. To do this, go to the “Exam Paper List” menu and click on the penultimate icon “Export” in the row of the corresponding exam paper. Save this file, which makes it accessible to other team members by allowing the exam paper to be imported (same menu item, then “Exam Paper Import,” browse, and “Upload”). This exam paper can be edited, copied, or integrated into an (online) exam.

Yes, you can specify that the target score is displayed next to the tasks. When you create a new exam paper, the exam paper wizard opens first. Here, you can select that the points should be displayed in the exam paper by checking a box.

Disabling this function is not supported by the system and therefore cannot be turned off.

You can create a personalized online template for your exam in just a few steps:

  1. Select the “Settings” tab in the header.
  2. Click on “Online Templates” (globe icon) in the left-hand side menu. Here you can create and manage your online templates.
  3. Under “Create new customized online template,” you can create a new design template in which you can define your own colors or institute logos, for example. You can also configure settings for your participants. For example, you can specify which personal information about the participants should be displayed on the start page of your e-exam, configure accessibility settings, or add a health questionnaire (see below).

Please note: In template management, you will see the preview (on the left in the previous image) and the options (on the right in the previous image). If your screen settings are narrower, these two may appear one below the other instead (see image below). You can only move within the preview using the scroll bar (1). To access the settings, use the bar on the far right (2).

To change the interface of your exam to English, you must create the exam and the exam sheet in the English interface of EvaExam. It is possible to use questions that were previously created in the German interface and saved in your question library.

To do this, first go to the Settings tab and the User Profile menu item.

There, switch to “English” (1) and confirm the change by entering your password (2).

This will change the “Start Exam” and ‘Submit’ buttons to “Begin Exam” and “Submit.” You can then create the exam as usual. Please note that you must now insert the health and independence query in English—for example, by using the “Leuphana Online Exams_ENG” template (see next question).

Yes, this option is available via the templates. When creating the template, you can enter up to three free texts in the “Home” tab, which students must confirm by checking a box before they can start the exam.

If you use the predefined template “Leuphana Online Exams,” a health query, a declaration of independence, and the declaration of consent to the processing of data within the framework of the RPO are already included and must be confirmed before the exam can begin. An English version with the addition _ENG is also available.

When you create an online template for your exams, you can select four different pieces of information from a drop-down menu in the “Start page” tab under “Display participant information.” The name and participant ID can be displayed individually or together. You can also choose not to display any participant information on the start page.

To design a paper exam with EvaExam so that the cover sheet shows the name and student ID number but not the exam questions, you can use the Page Break function in the VividForms Editor when creating the exam sheet. However, a page break can only be placed after a question group. So place an empty question group or a question group whose content may be viewed before the exam begins (e.g., the health questionnaire or a welcome text) directly below the ID block. (Do not check the box next to Text element to convert the question group to plain text—this will prevent the page break from working!) Then insert a page break from the menu on the left side of the screen. All other question groups can then be created starting on page 2.

Hotspot questions (only available for digital exams) allow you to mark one or more areas (hotspots) in a graphic.
Exam participants must identify and mark the hotspots you have defined on an image. To link an image to the question, you must first upload the desired graphic to the media library. This is done in the questionnaire editor (left bar). JPG and PNG files are supported. Use the mouse to click along the boundary of the area. The hotspot is set up using the [Close hotspot area] button (above the image). It is possible to define a maximum of 20 hotspots. Select the hotspot question in the formula wizard. Create a question text and select the image you previously uploaded to the media library.

  • Then select the “Edit hotspot” button. (Click on the image for a larger resolution)

  • Now you can move the cursor around the area and, when you are finished, select “Close hotspot area” at the top. (Click on the image for a larger resolution)

  • The hotspot area will be filled in red (other colors are possible). Then select “Apply” and complete the process by selecting “Apply” again.

Please note: It is not possible to locate different items on a map using this question type. So a task such as “Mark all federal states that have a coastline” would be possible, but not “Identify Lower Saxony, Bremen, Schleswig-Holstein, and Mecklenburg-Western Pomerania.”

Created question types cannot be converted into other types. We recommend using copy & paste for this.

Yes. When creating your exam sheet, you can add the question Multiple-choice question (only evaluate correct answer combination) in the question selection.
